How to enter supplier bills and keep a purchase register
Every supplier bill goes in once: the GST becomes input tax credit, the goods enter stock, and the supplier's due shows in Dues. The register lists them with GST totals for any dates.
Step by step
- Add your business once. Your state decides CGST + SGST or IGST.
- Enter the supplier bill. Purchase bill: supplier, GSTIN, bill number and date, due date, each item with HSN, quantity, rate and GST rate.
- Say how it was paid. Leave Paid now? on credit, or pick cash, UPI, bank or cheque.
- Keep a photo of the bill. Made smaller and kept with the bill.
- Goods going back? Purchase return with the original bill number; print a debit note to send with the goods.
- Check the register and dues. Purchase register between two dates with GST totals; Dues › To pay by age.
Worked example
October register: 22 bills, taxable ₹2,70,000, CGST ₹13,500, SGST ₹13,500, IGST ₹21,600; one return of ₹5,000 + ₹900. Net ITC ₹47,700 before matching GSTR-2B.
Common mistakes and how to fix them
- Bill number typed differently from the supplier's. GSTR-2B matching then fails; copy it exactly.
